These templates will help you generate online publicity materials in a hurry. They are designed to help you format documents properly for online delivery. Detailed instructions on how to use the templates are found in the corresponding chapters of The Complete Guide to Internet Publicity.

  • Now Contact Database Illustration
    This is a GIF file showing a recommended configuration for a media database using Now Contact software. Even if you use a different contact management or database program, you might want to consult this image for design ideas and field names.

  • ACT! Database Illustration
    This is a GIF file showing a recommended configuration for a media database using ACT! software. It shows you which field names were user-defined, and which came installed with the software. It also shows a good design for the layout.

  • ACT! Layout File
    This is the actual layout file for an ACT! media database. Download this file, place it in your ACT! layouts folder, and you don't have to go through the work of designing a layout yourself. NOTE: I'm using ACT! 2.8 for the Macintosh, and Windows users may not be able to use this file. In that case, you'll have to design your own layout using the ACT! or Now Contact illustrations (above) as guides.

  • E-Mail News Release
    This is a Microsoft Word file. Download it, customize it, and save it as "stationery" or as a template. The body of the document uses the Courier font to keep your line length nice and short, and the space for the subject line is also restricted.

  • Discussion Group Posting
    This Microsoft Word file is a model template for discussion group postings. Download it, customize it, and save it as "stationery" or a template.

  • Discussion Group Postings Report
    This is a Microsoft Word file. Use this form to keep track of your discussion group postings. Download the file and save it as a template or stationery.

  • Tour Profile in Word
    This Microsoft Word file is used to collect the information needed to produce a chat tour, blog tour, or other online tour. This profile of the guest is given to chat hosts so they can properly promote the event.

  • Tour Profile in HTML
    An HTML version of the Tour Profile. You can edit this document in your web page editor, view it in your web browser, and when you've got it just right, put it online and use it to solicit appearances from tour venues.

  • Tour Schedule
    This is a Microsoft Word document. It is used to keep track of all the dates, times, locations, and contacts for an online tour. Download the document, save it as a template or stationery, then create a new Tour Schedule for every tour you book.

  • Web Site Registration Form
    This Microsoft Word document is used to gather all the information you need to conduct a web site registration campaign, such as site descriptions of various lengths, keywords, and categories.

  • Web Site Registration Report in Word
    This Microsoft Word document is used to track the progress of a Web Site Registration Campaign. This is an old form, and some of the directories no longer exist. It's meant to be used as a document template, where you can replace the names and URLs of the sites with the ones from your campaign.

  • Web Site Registration List in HTML
    Download this file and open it in your web browser. It contains links to the registration pages at all the top search engines and directories. This form will save you a lot of time on a web site registration campaign.

  • Linkage Report
    This is an HTML document used to keep track of link requests. It provides a roadmap to the Web Sites That Matter in any given industry, and thus is an important tool for many campaigns. Edit the form in your web page editor.

  • Sample Linkletter
    This is a Microsoft Word document. A form Linkletter should be drafted prior to any linkage campaign. It is used to solicit links from compatible web sites. Open the letter in Word, adjust the wording, then save it as text for use in e-mail. The Linkletter needs to be customized for each request before you send it.

  • HTML Template for an Online Bookstore Display
    This is a sample of an Online Bookstore Display for a book promotion campaign. It can also be used as a template for an Article Syndication campaign. You can edit this document in your web page editor, view it in your web browser, and when you've got it just right, put it online and use it to solicit article placements at top web sites. Use the Online Bookstore Display Placement Report to track your progress.

  • HTML Template for an Online Bookstore Display Placement Report
    Similar to the template for the Linkage Report, this HTML template is used to track the progress of Online Bookstore Display Placement Campaigns and/or Article Syndication Campaigns. View it in your web browser, then save it "as source." Simply replace the entries for "sample site" with the sites you visit.

  • "Points of Interest" Page in Word
    This Microsoft Word document is used in press kits to give journalists an index to the dominant story lines in a book. This is one of the most effective tools I have come up with for getting a book reviewed.
